What this policy covers
Fleet Nexus is a workplace fleet-operations service. This policy explains how Fleet Nexus Ltd. handles personal information when you use our website, installed web app, Android app, or iPhone and iPad app. Your employer or the company that provides your account may also control workplace records in Fleet Nexus.
Information we collect
- Account, contact, company, employee, role, and authentication information.
- Dispatch, forms, signatures, photos, files, maintenance, safety, payroll, billing, and other operational records you submit or your company maintains.
- Precise device location only when a Shop Time clock action needs it and you grant location permission.
- Device and push-notification identifiers, including Apple Push Notification service tokens, when notifications are enabled.
- Vehicle, unit, mileage, position, and related fleet data supplied by customer-enabled telematics integrations.
- Security, diagnostic, usage, and device information needed to keep the service reliable and protect accounts.
- Subscription and payment-status metadata. Card details are handled by our payment provider rather than stored directly by Fleet Nexus.
How we use information
We use information to provide and secure Fleet Nexus, complete requested workplace workflows, maintain audit records, send permitted operational notifications, support customers, improve reliability, meet legal obligations, and prevent fraud or misuse. We do not sell personal information or use it for third-party behavioural advertising.
Sharing and service providers
Information may be available to authorized administrators at your company and to service providers that help us host data, store files, deliver notifications and email, provide maps or geocoding, connect customer-enabled telematics systems, process subscriptions, scan or extract information from documents, monitor security, and provide customer support. Providers receive only the access needed for their work and are required to protect the information. We may also disclose information when required by law or to protect people, accounts, or the service.
Document and AI-assisted processing
When a company enables these features, Fleet Nexus may send selected receipt, document, maintenance, or operational content to configured optical-character-recognition or AI service providers to extract fields, organize records, or suggest operational analysis. These results support the requested Fleet Nexus workflow and may need review by an authorized user; they are not used for advertising or cross-app tracking.
Your choices
You can control camera, photo-library, file, location, and notification permissions in your device settings. Some requested workflows cannot work without the related permission. You can review account information in Fleet Nexus and ask your company administrator to correct employer-managed records.
Retention and account deletion
We keep information only as long as reasonably needed for the service, security, audit requirements, contracts, and applicable law. Workplace records may need to remain with your employer after your login is removed, including payroll, safety, dispatch, signed, financial, and legally required records. You can request deletion of your Fleet Nexus account in Settings → Account & Privacy or by contacting Support. We verify and process requests, remove or de-identify eligible account information, and explain any information that must be retained.
Security, children, and changes
We use administrative, technical, and physical safeguards designed to protect information, but no system can guarantee absolute security. Fleet Nexus is a business service and is not directed to children. We may update this policy as the service or law changes and will post the current effective date here.
